The Abbey Group, a Boston based real estate company that develops, owns and invests in a portfolio of enduring assets that are designed exceptionally to create vitality, value and community, seeks an Assistant Property Manager at a 342 unit apartment building. Reporting to the Property Manager and Senior Vice President of Operations, the Assistant Property Manager plays a multi-faceted role and is responsible for managing day-to-day operational issues, planning and executing ongoing maintenance projects, serving as tenant liaison, and maintaining a high level of tenant satisfaction. Applicants must be proactive, customer service-oriented team players who can creatively solve problems. This is a unique opportunity to join our dynamic property management team.


Responsibilities:


Operations Management

  • Collaborate with supervising Property Manager and other members of the property management and maintenance team to uphold a standard of excellence across the company’s residential portfolio.
  • Supervise building staff and outside contractors to execute tenant work orders.
  • Routinely inspect tenant spaces, common areas, and grounds, and coordinate with internal staff and vendors to ensure a high level of maintenance.
  • Conduct move-in and move-out inspections.


Client Service

  • Promote, establish, and cultivate positive relations with residents via regular outreach. Work with Property Manager to develop follow-up strategies and action items.
  • Arrange and coordinate move-ins, new tenant orientation and move-outs.
  • Communicate moving procedures, inspections, general property information, rules and regulations.


Leasing

  • Screen and process rental applications to meet specified qualifications.
  • Prepare leasing agreements and liaise with the leasing team to process paperwork and fees.
  • Collect and analyze data to produce accurate unit inventory reports for weekly team meetings.
  • Organize and maintain analog and digital tenant files with accuracy.
  • Support leasing efforts by generating renewal reports, executing tenant lease renewals, strategizing with the ownership and leasing team about resident renewal negotiations. 



Administrative

  • Maintain a working knowledge of company databases and reporting tools to prepare weekly and monthly reports.
  • Coordinate parking, bike storage and amenity space reservations for residents and outside contractors to ensure fees are received.
  • Engage in general administrative support including scanning files, creating organizational systems, and answering phone calls and emails.


Creative

  • Plan and execute creative building wide events that align with the needs of the residential community.
  • Develop a strategic editorial calendar and write bi-weekly resident emails to build community and increase resident retention.


Financial

  • Assist Property Manager with rent statement distribution and review.
  • Perform light bookkeeping responsibilities.


Requirements & Qualifications:


  • 0-3 years of property management experience.
  • Associate’s or Bachelor’s degree preferred.
  • High school diploma or general education degree (GED) may be accepted if paired with significant relevant experience.
  • Proficiency with MS Office including Word, Excel and Outlook.
  • Familiarity with Buildinglink, MRI and Yardi real estate software, preferred.
  • Ability to organize and coordinate work efficiently and to set priorities in a demanding and fast paced work environment.
  • Strong interpersonal and written communication skills.
  • Ability to multi-task and respond to varied situations with resourcefulness and attention to detail.
  • Willingness to participate in after-hours emergency on-call rotation.
  • Must be vaccinated for COVID-19.
